President's Message

I am so excited to be writing to you for the first time as President of PHIMA. When I graduated in 1981 from Temple, I never thought that I would be successful enough to ever be elected by my peers to this position. You see, I wasn’t the greatest student, or had the greatest clinical, or even had many friends. I just didn’t understand what the big deal was about “Medical Records.” I was very slow on that front. I could never understand how anyone could ever do ”Medical Records” for a job let alone a career. BUT, then it happened- out in the work place—I soon realized that my education prepared me for many, many roles within Healthcare- (later on in other disciplines as well).

We were taught to know how every department in an organization operates. We were taught how every department does business and then proves that the business was done. We were taught what to look for so that the other disciplines received credit for what they did and that the organization received payment for what they did. Now don’t let your mind go straight to coding – It is not all about CODING---It’s about knowing Healthcare and how it works—how the people work and how the systems work. It may sound conceited, but WE KNOW IT ALL—it is time for everyone else to recognize that we know it all—I don’t mean this in a conceited sense, just a fact.

So here we are- NOW called HIM instead on Medical Records- and that is a good thing because it encompasses what we truly are about.  Wherever there is health information we are there or at least we should be. You will read in this edition about our activities and about the goals we have set for the year. Your Board of Directors’ has been meeting all summer and planning how to best serve the membership. I hope that you all will join me in participating in this year’s activities. We have a fantastic education program planned for you and we also have the beginning schedule for our annual meeting in May worked out. With the assistance of our Board and the incredible Executive Director we will be providing you with a year to remember. Thank you for allowing me to serve.


PHIMA Executive Office Highlights


After the 2007 PHIMA Annual Meeting was over in May 2007, everyone was ready to sit back and enjoy the summer that was ahead of them.  Unknown to our members, the summer months are the busiest times for the PHIMA Central Office.  Here are highlights of a few things we have been working on for our members:

PHIMA Membership Drive

This year we have introduced the PHIMA Premiere Membership Program.  The PHIMA Premiere Membership Program is a way to acknowledge and contribute to your component state organization beyond the general membership granted as part of your AHIMA annual dues.  In addition to the benefits of being a voting member of PHIMA, Premiere Members receive these wonderful benefits for only $20/year!

Yes, PHIMA does receive part of the dues you pay AHIMA each year.  However, like many other states, PHIMA needs the additional funds to provide all the services you have come to expect.  We promise you the $20 dues assessment will be well worth the cost for your professional and personal growth.   We have made this an easy and simple process and it only take a few minutes.  Complete our online membership application.

Educational Sessions

Thanks to the Educational Co-Chairpersons from the previous year for the first time, PHIMA has been able to offer Audio Conferences to our members in June, July and August. While sitting at your desk during lunch, you have the opportunity to earn 3 CEs.  In the fall, PHIMA will continue to offer Audio Conferences as well as offer an all day CCS Preparation Readiness Workshop in two locations - Wynnewood on 10/13 and Cranberry Township on 10/20.  You can find all the up to date educational sessions that PHIMA has be offer by visiting the PHIMA calendar.

AHIMA National Convention

By now, you should know the AHIMA National Convention is right here in our own state in the city of Brotherly Love (Philadelphia) from October 6 to October 11, 2007.   We are so excited because they asked PHIMA to help them with many tasks while enjoying the convention.  We already have 151 people who have signed up to volunteer.  We would like to get another 100 volunteers to top it off.  If you are planning on attending or maybe you just want to volunteer, please help us show AHIMA, we are a volunteering state.

2008 PHIMA Annual Meeting

PHIMA is proud to announce the 2008 PHIMA Annual Meeting will be held on May 5 to May 7, 2008 at The Penn State Conference Center.  Mark your calendars now to be part of this awesome event.  All information about the 2008 Annual Meeting will be available on the PHIMA website by October.  (Make sure you take the time to visit the website and look for “early bird specials”).

PHIMA 2007-08 Goals

In development of the budget for this year, I had in my mind clear and distinctive guidelines. As I look at all of the issues that are passionate to me, I clearly have been able to identify what my main Goal is: ----MEMBERSHIP and Love for my profession. I believe that all of my efforts and the efforts of the BOD will be guided by my Long Term Goal which is to increase membership—In working with all members of the board, especially Lorri, Eve-Ellen and Patty, we will able to continue on with the activities that have been fostering MEMBERSHIP.  The following represents the activities that are planned for this year’s BOD and reflects the approved PHIMA budget for 2007-08. If you are unable to tell how much I Love HIM—feel free to email me at my office and I will gladly spend whatever time it takes to give you the information that is necessary to love HIM and to be grateful for your credentials--

  • Website- further development, increased product development, PR and marketing
     

  • AHIMA participation and planning for the annual meeting including the cost of activities
     

  • Increasing the FORE donations- bring attention to our state and increase our commitment level to the AHIMA
     

  • Providing/sharing information to our colleagues at the Local Levels so that our membership may continue to grow and enhance our profession
     

  • Increasing awareness with potential clients for job bank listings. Increasing and enhancing the opportunities for our membership
     

  • Completing the ROI project which will provide members with a useful tool -  and generate income for the membership
     

  • Utilize and make standard the use of internet based leadership for the BOD and increase the information that is needed by the membership
     

  • Increase BOD activity and mind thinking activities to better serve the membership by eliminating “common business issues” that can be discussed via the COP and voted upon via email
     

  • Increase vendor relationships to better serve the membership and our supporting- and much needed vendors
     

  • Providing consistency for our membership in the annual meetings and programs offered by re-structuring the BOD and committee chairs. This will also afford us the opportunity to have continuity with our annual meeting issues and save you time and resources as a membership
     

  • Develop strategic relationships with past, present, and future board members to provide continuity and strength to our members
     

  • Seek, question, and bring back members that we have lost to other professional groups.
     

  • Provide cost effective educational sessions to our members that will encourage their continued support and passion to PHIMA and AHIMA


ACE Program

The ACE Program (The Action Community for e-Him Excellence) is a new AHIMA program that connects e-HIM® experts with volunteer opportunities within CSA’s and with individual AHIMA members.  This program mobilizes AHIMA’s network of HIM experts and change agents.  It identifies, prepares, engages, mentors, and recognizes those working to transform HIM practice and connects them with volunteer and career-building opportunities.

ACE members make change happen.  They apply expertise, experience, and leadership skills within their organization, communities, and states.  Current ACE members are participating in regional health information exchange initiative, leading organizational data quality improvement efforts, and speaking at state and national HIM conferences.  Other ACE members have testified on HIM issues before government agencies and mentored students and new professionals.

Individuals join the ACE Challenge through recommendations or self-nominating.  An on-line self assessment helps them gauge their expertise and experience.  If you join ACE, you make a commitment to volunteering.  You can learn more about ACE by visiting ahima.org/ace.  There you will find an online nominating form and the self assessment. 


AHIMA Election - 2007 Results Announced!


The results are final for the 2008 Board of Directors, members of the Commission on the Accreditation for Health Informatics and Information Management Education (CAHIIM), and Council on Certification.  Congratulations to the newly elected leaders, and all candidates that agreed to be included on the ballot.


A total of 3,998 votes were received.  The number of votes received was a slight   increase from last year.  However, due to the increase in membership, the voter turnout was a slight decrease percentage-wise.  According to the AHIMA results, Pennsylvania had the following participation:

AHIMA as well as PHIMA continues to emphasize and encourage more members to vote in the future.


House of Delegates Update

Currently there are two resolutions before the House of Delegates.  The Pennsylvania Delegates would like the members to offer their opinions and thoughts on these resolutions.  The resolutions are summarized below.

Diversity Resolution

The Diversity Resolution is summarized below and the full version is available on the State Leaders and HOD Communities of Practice (CoP) at ahima.org.  The 2006 AHIMA Volunteer Diversity Analysis associated with this resolution is also available on the State Leaders and HOD CoP at the end of the Diversity Resolution. 

Summary of Diversity Resolution

This resolution is intended to advance AHIMA’s commitment to a culture that respects diversity throughout its organization, the federation, and the HIM profession at large. 

To accomplish this, the resolution calls for:

  • AHIMA’s Board of Directors to design and implement a standing Diversity Management Program that enables participation by national and state leaders of AHIMA and its membership and serves as an effective means for expanding professional opportunities for all and volunteer leadership opportunities in the AHIMA and its affiliated organizations.
     

  • AHIMA to encourage its Component State Associations to adapt and implement AHIMA’s Diversity Management Program practices to better serve their members.
     

  • Foundation of Research and Education should seek funding to expand scholarship opportunities for students with characteristics currently underrepresented in the HIM profession and the faculty that teach them.

Personal Health Record Resolution

The Personal Health Record (PHR) Resolution is summarized below and the full version is available on the State Leaders and HOD Communities of Practice (CoP) on ahima.org

Summary of PHR Resolution

This resolution is intended to charge Health Information Management (HIM) professionals with the responsibility of creating and maintaining their own personal health record (PHR).  HIM professionals are ideally suited through their education and professional capabilities to inform consumers and healthcare providers about the benefits of the PHR.  They are leading the way and serving as role models in this effort.

2007 Annual Convention

First, I want to tell everyone how exciting it is to part of the Executive Board of PHIMA.    As I accept my role as Secretary of PHIMA, I look forward to a great year, where all of our members find fruition in our goals, achievements, and dreams.  The team concept promoted by PHIMA is one which emanates the excitement of a rewarding year.

On another note, as the summer winds down we don’t have to feel depressed and disheartened. The event of the year that we have all been waiting for is coming upon us.    As many of you know I am co-chairing the AHIMA Planning committee. A truly diverse and eclectic undertaking with which I am ably supported by my co-chairs - Yeva Zeltov, Lorri Luciano, and most of the Southeastern PHIMA folks.  

We are still on the lookout for volunteers for this extraordinary event.  If you are going to attend the convention and can spare some time to volunteer, please do so.   We are looking for folks who are very familiar with the Philadelphia area, and can give directions and know where the greatest, coolest spots are in Philly at our Information Booth.   If you want to work the registration desk, greet our colleagues, or help manage the volunteers, we need you.   

This event is HUGE and the coolest thing is that our colleagues are coming from around the whole country to commune with us and share what is best about the Delaware Valley.      A large part of our endeavor is accepting and coordinating all of you that have volunteered and will volunteer.

Did You Know About the Delegate Work Group?



Did you know that AHIMA has a Delegate Work Group in place?  Our own PHIMA President, Paula Lawlor, serves on this year’s group.  The following lists the tasks that the workgroup are charged with:

 

  1. Evaluate and coordinate the environmental scanning process for delegates
     

  2. Encourage submission of resolutions on practice issues
     

  3. Where feasible, review submitted resolutions and assist in outlining the arguments for and against, and assist in leading debate/discussion among delegates
     

  4. Communicate the roles of the delegate via orientation to new delegates shortly after July 1, including the dual role of the delegate in representing the profession as a whole as well as members
     

  5. Increase delegate participation in the State Leader and HOD CoP
     

  6. Evaluate delegate satisfaction with role by conducting a survey (June)
     

  7. Assist in designing/presenting an on-site delegate orientation to be held just prior to the in-person HOD meeting
     

  8. Make recommendations to HOD meeting agenda
     

  9. As part of the governance review, provide input on desirable HOD organizational performance measures, including apportionment.
     

  10. Where feasible, perform group’s work transparently, seeking out opportunities to publicize the work of the group to delegates, and invite delegate input into committee deliberations, where appropriate, through the communities of practice or other vehicles.


PHIMA Call for Nominations

The PHIMA Nominating committee is currently soliciting candidates for the Year 2008 PHIMA ballot for the offices of:

  • President-Elect

  • Secretary

  • Treasurer

  • Director

  • Delegates (1) and Alternate

Due to the critical nature of these positions and their resulting impact on the present and future of PHIMA and our profession, we would like to have at least one candidate for each office from each of the regions.  As an officer you have the additional bonus of being able to network with the other members of the Board and, believe it not, to enjoy the commitment with people you like and respect.

CPHIMA Regional Report

CPHIMA will kick off the 2007-2008 year with a board meeting on September 7th and an education session on September 21st.  This education session will be held in New Oxford at the Brethren Home. The featured speaker will be Deborah Hale, CCS, President of Administrative Consultant Service, LLC, (ACS) a Certified Coding Specialist with twenty-five years of experience. 

Topics being covered include: Understanding Coding and DRG/MS-DRG Methodology, Challenges Facing the Hospital Industry under MS-DRGs, and Fiscal Year 2008 Coding Changes.  Plan to join CPHIMA for what is sure to be a day filled with All Things Coding!

Upcoming Events: CPHIMA has education sessions slated for the following dates; December 14, 2007 – Hotel Hershey, March 14, 2008, June 13, 2008, and September 19, 2008.  We are in the planning phase for Coding Roundtable sessions to be held this fall.  Watch our website for more information! NEPHIMA Quarterly Meeting Update

The Northeastern Pennsylvania Health Information Management Association met on June 21, 2007, at Convention Hall in Pittston, PA.  Four continuing education credits were offered to those in attendance.  Association officers led a roundtable discussion regarding “Clinical Documentation Improvement.”  Debbie Clark, RN, BSN, spoke on “Caring for your Elders.”  “MS DRGs, Present on Admission, and Pay for Performance” was presented by 3M Healthcare System. 

NEPHIMA would like to recognize the newly installed officers.  Jane Ryan, RHIA, Allied Health Services, President Elect; Angela Christman, RHIT, Secretary; Terri Krevey, MHA, RHIA, Mercy Health System, President; Candy Yakubik, RHIT, CCS, CMC Healthcare System; Rachel Sherksnas, RHIT, Mercy Health System, Treasurer. 

The next NEPHIMA meeting will take place September 13, 2007, at Convention Hall in Pittston, PA.  Topics will include PHIMA Update, ICD-9 2008 Update, and Future Electronic Record Storage Requirements.

Education Session

The Education & Arrangements Committee chairs are working on an educational calendar for this upcoming year.  The education session will be held in November and this session will cover the topic of MS-DRG.  This session will give the membership some chance to work with the new system and identify any issues or concerns that we can discuss and share as a group.

SePHIMA is in the process of the annual membership drive and we have already sent out the membership renewal forms to our members.  There is still time to join, get on our mailing list, and obtain member education discounts.  The cost is only $20.00 and the fee is waived for students.  If anyone has a question or would like a membership form, please contact Nancy Kauffman, Membership Co-Chair at nlieu08@yahoo.

SePHIMA’s board looks forward to a very rewarding and productive year - we are actively working on a website and we plan on offering outstanding educational sessions for our members.  


WPHIMA Regional Report

Education Update

The Education Committee has been busy planning the annual educational offerings for the year.  In addition to the two standard sessions on coding changes, the committee is considering sessions focused on scanning, CORE measures, ROI, and Master Person Index. Detailed information will be reported with confirmation of each session.

The first education session will be held during the quarterly board meeting on September 14, 2007 at West Penn Hospital in the Winter Garden Conference Room. Becky Degrosky, RHIT will present on the ICD-9 October 1st changes.  Paula Lawlor,PHIMA President, will also be in attendance to speak at the board meeting. The CPT-4 coding update will be held December 7, 2007 at St. Clair Hospital. Laurine Johnson will be the presenter.

Advocacy Committee

Beginning in 2006 the Advocacy Committee agreed to tackle a much-needed resource for PHIMA members, the guidelines for the release of confidential information.  After careful review it was determined that this project would be a two-year endeavor.  In the fall of 2006 we recruited nine members.  The Committee is co-chaired by Maggie Foley and myself.

We religiously convene a one-hour conference call each month as a way to keep everyone inspired as well as moving forward.  Through the Winter months we crafted an outline of topics to be addressed, solicited and assigned volunteer authors for all topics, and developed writing guidelines for consistency that address font, pitch, and more importantly how to appropriately reference and footnote information.  The Committee has spent the summer months writing with several chapters on topics in draft form and ready for review.

To support the Committee members and volunteer authors we have set up a CoP so that we can easily share resources, web links, ask questions, discuss issues, and post draft sections as they become available.  Our goal is to have all writing and editing completed by 12/31/07, leaving us the spring, 2008 to finalize, publish and present an up-to-date legal manual to the membership at the annual meeting in May.


Spotlight On Your President-Elect

I have a great love for our profession. It is always fascinating and exciting, and I continue to involve myself in as many aspects as I can. In 2006-07 I was honored to be President of WPHIMA and we were able to take some giant leaps- we set up a website from which members can register/pay for educational sessions, sign up/pay for annual membership and even vote! We set up a permanent mailing address and have had some tremendous educational sessions, including one on Interventional Radiology Coding.

In 2005 I was a member of the AHIMA Work Group - Patient Identification in RHIOs. Our research allowed us to investigate RHIO models in place across the country with a focus on being able to recommend a patient identifier. The Work Group published two articles- January 2006 a Practice Brief – Surveying the RHIO Landscape; and a Practice Brief in March 2006- Using the SSN as a Patient Identifier.

Since October 2006 I have been a Student Mentor on the same named CoP. We answer questions and provide advice for students in all stages of their careers.

I have interacted with other associations in Pennsylvania over the last 2 years. One is the Pennsylvania Association of Medical Transcription (PAMT). I was a speaker at one of their conferences, plus have posted information about their activities on the WPHIMA website, and communicated with them regularly. The other is Western Pennsylvania AAHAM – again I was a speaker at one of their conferences and have interacted with their President.

I am currently a Member of AHIMA’s Privacy and Security Practice Council. In addition to addressing Privacy needs for the membership, we perform environmental scanning of all the CoP’s to see if there are any critical issues we should address and assist with the membership by providing resources.

Over the past 2 years I have attended 3 High School Career Fairs to inform and encourage our youth about the HIM field. So many people have never heard of HIM. I would love to see a more concerted effort- not only with the students, but also with the parents—maybe of 9th and 10th graders.

PHIMA Receives Three AHIMA Awards

I am pleased to announce that PHIMA has received AHIMA recognition in three categories.  The awards were announced in July at Summer Team Talks in Chicago.

I attended Team Talks in 2005 as President-Elect and again in 2006 as President.  When awards were announced and other CSAs (Component State Associations) explained their winning projects, I walked away thinking, "We can do that."   One of my goals for 2006-2007 was to qualify for one of these "prizes.".


PHIMA received the First Place award in the Diversity category.  Many people think diversity refers to race, gender, age, or sexual orientation.  We approached this challenge in a different way.  Our goal for the 2006-2007 year was to bring new people into an active role in our association.  The PHIMA Board and committee members often seem to include more consultants and educators than the membership as a whole.  By bringing in new names and new faces we expected we would be bringing in a more diverse group. 

As President, I appointed four individuals to leadership roles as Committee Chairs who have never previously served on the PHIMA Board.   I asked our Executive Director to compile a list of all PHIMA members who have indicated a willingness to serve on their membership applications.  I then challenged all of the Committee Chairs to include some new volunteers on their committees by consulting this list or otherwise reaching out.

Eleven new volunteers agreed to serve on PHIMA committees.  We enjoyed working with them and they performed wonderfully.  Paula Lawlor, PHIMA President, has continued the effort into her year.

PHIMA received Second Place recognition in the Education category.  During the 2006-2007 year, we offered 17 CEs at the Annual Meeting, many Audio conferences throughout the year, and online education at PHIMA.org.  We also offered education opportunities in the usually dead summer months after the Annual Meeting.

In addition, we received an Honorable Mention in the Member Communications category.  Last year, we further developed and grew the PA CoP.  We started the year with 296 members and today we are at 581 - that is a 96% increase!  We established a Board CoP to conduct business between meetings.  We redesigned the Keystoner and began a total revamp of our website. 

These accomplishments reflect the efforts of many individuals and I hesitate to name them for fear of omitting someone.  Thanks to the PHIMA Officers, Committee Chairs, Committee Members, and the supportive membership for making us look good in Chicago.    


PHIMA CoP Activities Increase Contest Winner

Congratulations to Karen Jadach, CCS, RHIA for winning a one night stay at the AHIMA National Convention in Philadelphia.  How did she win this one night stay?  She visited the Pennsylvania CoP over 690 times! 

PHIMA along with South Carolina, and Louisiana were the top three CSAs with the highest percentage increase in unique member logins for April 1-July 31, 2007 from the same time period in 2006.  Thanks to all of you for making our state stand above the rest!
